Organizations: team licenses, members and admins
An organization puts your whole team under one account. You buy licenses only for the people who need more than Free, in any mix of Creator, Pro and Enterprise. Everyone else joins on Free at no cost. When roles change, you move a license in a few clicks instead of buying a new one.
How it works
- One owner. The owner has Enterprise, and their plan keeps the organization running.
- Licenses in any mix. Buy Creator, Pro and Enterprise licenses, monthly or yearly. Give each person the one their work needs.
- Free for everyone else. Members without a license use Free. You pay only for the people who need more.
- Content stays personal. Each member keeps their own quizzes, polls, folders and results, even after they leave.
Set up your organization
- 1Buy the Enterprise plan under Manage subscription.
- 2Create your organization when RiLiFi offers it, or open Organization in the sidebar.
- 3Enter a name for your organization. A logo is optional, and you can change both later under Organization details.
- 4Your organization opens on Overview. From there you buy licenses and invite your team.
Buy licenses
- On Overview, press Buy licenses. Choose how many Creator, Pro and Enterprise licenses you want, up to 99 of each per purchase.
- Pick Monthly or Yearly. Yearly prices are already 16% lower, and the dialog shows how much you save in a year.
- Each purchase renews on its own date. Buying more later does not change the licenses you already have.
- Licenses bought together renew together. Turn off renewal stops all of them at the end of their period, and renewal cannot be turned back on. Buy new licenses when you need more.
Invite your team
- 1Open Team and press Invite member.
- 2Enter their name and email, then press Send invitation. We email them the invitation.
- 3They accept from the email and join as a member on Free. If they are new to RiLiFi, they set a password with a code we email them.
- 4Assign them a license from Team whenever you are ready.
When an invitation cannot be accepted
- They pay for their own plan. They cancel it under Manage subscription, then open the invitation again.
- They are in another organization. A person can be in one organization at a time.
- Your organization has lapsed. See the last section of this guide.
- You cancelled the invitation. Send a new one from Team.
Assign and manage licenses
| Action | Where | What happens |
|---|---|---|
| Assign license | Team, member menu | Gives the member an unused license from your purchases. |
| Change license | Team, member menu | Swaps their license for another type. The old one goes back, ready for someone else. |
| Move from a member | Assign license dialog | Takes another member's license, end date included. That member moves to Free. |
| Remove license | Team, member menu | The member moves to Free and stays in the organization. The license goes back, ready for someone else. |
| Remove from organization | Team, member menu | They leave the organization, and any license they hold goes back. Their content stays in their own account. |
Two rules that protect your team
- While its holder may be hosting, a license cannot be changed, moved or removed. The same goes for removing them or approving their leave. If they started a live session in the last 10 minutes, try again shortly.
- Someone who pays for their own plan cannot get a license until they cancel it.
Admins
- Admins invite people, buy and assign licenses, and handle leave requests. The owner is always an admin.
- To make someone an admin, give them an Enterprise license, then choose Make admin in their menu.
- The Admins tab in Team lists every admin.
- To remove an admin's Enterprise license, choose Remove admin role first.
- If an admin's Enterprise license ends, they become a member.
Leaving the organization
- Members ask to leave with Request to leave under Manage subscription. Admins approve or decline it under Leave requests.
- Once approved, the member leaves and any license they hold goes back. Their content stays in their account.
- A declined member sees the reason, and can ask again after 30 days.
- The owner cannot leave. Transfer ownership first.
Transfer ownership
- 1Make the new owner an admin with an Enterprise license.
- 2On Overview, press Transfer ownership, choose them and confirm.
- 3Their Enterprise license now keeps the organization running. You stay an admin while you have Enterprise.
Billing and renewals
- Billing lists every license payment, who each purchase is billed to, and the owner.
- Renewals keep charging whoever bought the licenses, even after a transfer. To change that, raise a support case.
- If a renewal fails, owners and admins see a Pay now banner. Pay within 48 hours, or 7 days for Enterprise licenses, and nothing changes.
- If it stays unpaid, members on those licenses move to Free and stay in the organization. Team shows the license each person had, so reassigning is quick.
If the owner's Enterprise plan ends
The organization runs while the owner's Enterprise plan is active. If its renewal fails, the owner has 7 days to pay. After that, the organization lapses.
A lapsed organization is view-only. Licenses stop, members use Free, and nothing is deleted. Members can also leave right away, without a request.
When the owner renews Enterprise, the organization comes back with everyone still in it. Admins then buy and assign licenses again.
