The Show Laptop Is a Bad Witness

Hotel Wi-Fi audience join reliability is settled before the doors open. Phones show a Wi-Fi icon. The join page never loads. The projector laptop joined at dawn, clicked the portal once, and looks fine. The host then debugs a poll while the room watches a spinner.

This is a checklist, not a lecture on sockets. Two networks. Two phones. One browser path.

Apple's Wi-Fi sign-in note describes the guest pattern. A network demands a browser login before anything else works. Hotels put a last name or a room number on that page. Until the page is done, the phone is not on the internet. It is in a lobby.

Captive Portal Versus the Projector Laptop

The cabled machine often skips the guest portal. It may sit on a staff network. It may have signed in hours ago. A guest phone has done none of that. A rehearsal that only uses the show laptop will pass. The keynote will fail.

The phone that is not on event Wi-Fi

First test. A staff phone on cellular data. Wi-Fi off. Open the join path or scan the code. The session loads. A name can be entered. That proves the session exists. It does not prove the room's Wi-Fi. Hosts who stop here walk in blind.

The phone that is on event Wi-Fi

Second test. Forget the network. Join the SSID the audience will see. Not the staff name. Not the exhibitor name, unless guests are actually on it. Complete the splash page the way a guest will, checkbox included. Then open the join path again.

Pass looks like this. The portal appears without a certificate scare a normal person will cancel. After the portal, the join page loads in the browser. No app store. We do not ship a native client for this. A store detour on hotel bandwidth eats the first five minutes. A test vote lands on the projector.

If cellular worked and the guest SSID failed, the session is fine. The venue network is not. Call the house tech before the walk-in music. Do not open the poll and hope.

Microsoft's captive-portal notes are written for people who build networks. The useful fact for A/V is smaller. The phone probes a known address to see if a login page is in the way. When that probe is blocked, the icon says connected and the browser does not move. Guest phones do this. The cabled laptop often does not.

What to Test Before Doors Open

Each line is a pass or a fail. A shrug is a fail.

  1. Write the audience SSID, the password, and whether a portal sits behind it. "Wi-Fi is fine" is not a line on the run of show.
  2. Cellular join from a phone. The session loads.
  3. Portal join from a phone that has not used this SSID today. The session loads after the splash page.
  4. One more phone, different vendor if we have it. One happy phone is not coverage.
  5. The show laptop loads the host view. The projector shows that view, not a desktop full of notifications.
  6. A remote teammate on a normal office network joins the same code. Hybrid dies when the room has a portal and the stream never got the code. One code. Both rooms.
  7. Count the plan. RiLiFi's free tier allows 100 participants per session. If the ballroom is larger, learn that at rehearsal. A cap on the live chart looks like a crash. It is a limit we already publish.

We live-host only. Quizzes, polls, and wheels stay in the browser. They are not embedded in the slide deck. A portal problem is then one URL to retry, not a plugin that will not start on a venue machine.

Leave the code on a slide that stays up. Add a printed card if the room is hybrid. The network test does not replace the code. A perfect portal with a hidden code is still an empty chart. The live poll is what they are trying to open. The live quiz uses the same join habit. Test the activity that opens the hour. Test the second one too if the script changes tools after the break.

When the Chart Stays Empty

Empty is information. Read it before rewriting the question.

  • Show laptop works. Guest phones spin. That is the portal or DNS. Stop giving hosting tips. Get the venue. A hotspot for the presenter does not fix the handsets.
  • Nothing works, including cellular. The code is wrong, the lobby was never opened, or the wall is a rehearsal screenshot. Check the host view.
  • Half the phones work. They are on two network names. The card says one. The bezel sticker says another. Pick one.
  • Join works. Votes do not move the chart. Look at the machine driving the projector. Phones can be fine while that machine falls off and hits the portal again.
  • Someone is told to install an app. That instruction is wrong here. Send them back to the browser.

We do not publish a latency number for hotel air. No honest figure survives every property. We will stand on the split test. If both phones can submit and the wall can show it before doors, the hour has a chance. If only the projector PC can, the hour is a speech.

A heavy splash page will time out on the same air the join page needs. That page belongs to the venue. Ask what it loads. If it is a video, guests will quit and blame the poll.

Questions the Venue Will Ask

Why does the phone say connected while the page never loads?

Association to the network is not internet access. The captive page is unfinished, or the phone cannot see it. Forget the network. Join again. Complete the page. Open the join URL. Do this on a guest phone. The show laptop's green icon is not evidence.

What is different about the projector laptop and the phones?

The laptop often skips the guest portal. It may be cabled. It may have signed in at dawn. It may sit on a staff network with no splash. Phones sit on the guest side, behind a splash, with DNS the laptop never uses. Test the network the audience is on.

What should be true before doors?

Cellular join passes. Guest-network join passes on two phones. The projector shows the live host view. The code on the slide matches the lobby. The plan covers the room. A backup host can open the same folder if the main laptop dies. The share is a people problem. The portal is a network problem. They do not have the same fix.

Should guests skip hotel Wi-Fi and use cellular?

Only as a backup line, said once. A room that requires cellular has failed the venue. Some phones will be roaming. Some basements have no signal. The guest network has to work. Cellular is how we prove the session is up while the venue fixes the portal.

Run the two-phone test. Then open the doors. A dull question can still empty a chart. The network should not.
